Important Changes for Fundraisers
As part of our new platform release, we’re introducing key updates to streamline fundraising processes and enhance platform security.
Below are the important changes existing fundraisers need to know:
1. New ASF Group Grant Agreement
- GST will no longer be added to ASF and ASFCF grant payments for organizations registered for GST.
- Historical Grant Payments: We recommend that fundraisers download their RCTIs from the current platform, as these will not be available for download in the new platform for the foreseeable future (but can be emailed to you, upon request to the Helpdesk).
- The focus will shift from financial acquittals to impact reporting for grant payments (see 10).
- ASF acknowledgment requirements have been significantly reduced.
2. Updated Fundraiser Terms & Conditions (T&Cs)
- All fundraiser contacts must agree to the new T&Cs.
- The T&Cs outline how each person uses the ASF Fundraising Platform.
3. Identity Verification for Fundraiser Administrators
- New security measures have been introduced to reduce potential fraud.
- Only administrators can access the fundraiser account's bank account details.
- At least one contact per club/organisation or individual/athlete fundraiser must complete identity verification to be eligible for grant payments in the new platform.
4. Terminology Update: Projects → Campaigns
- What were previously referred to as "Projects" will now be called "Campaigns."
5. Campaign End Date and Closure
- Fundraisers are no longer required to provide an end date for their campaign, meaning they can have ongoing or “always on” fundraising with the ASF
- If a campaign does have an end date in the new platform, the Fundraiser will receive multiple reminder notifications in the preceding month to either extend or it will be automatically closed on the nominated end date.
6. Managing Contacts
- Fundraisers can now add or remove users from their accounts in the new platform.
- Club/organisation fundraisers must always have a minimum of 2 contacts to be eligible for grant payments.
7. Draft Projects/Campaigns Will Not Be Moved to the New Platform
- If you have draft projects/campaigns, it is recommended to complete and submit them for approval now.
- Any unfinished drafts will need to be recreated in the new platform after an account has been moved.
8. Changes to Manual/Offline Donations
- Credit Card Payments: For PCI compliance, ASF will no longer accept manual/offline donations via credit card.
- Donation Form Templates: The platform will no longer create a manual donation form template for each approved campaign.
- Allowed Payment Methods: Manual/offline donations can only be made via EFT or cheque in the new platform.
- Requesting a Manual Donation Form: Fundraisers and donors can request a generic ASF manual donation form by contacting the Help Desk.
9. Impact Reporting
- The ASF has introduced impact reporting surveys in the new platform to gather insights from fundraisers on the impact their campaigns have had on their sport and communities.
- Reporting will be quarterly for campaigns that reach the fundraising amount threshold and if funds haven’t been spent, they can be rolled over to the next quarterly report.

- While the ASF has moved away from financial acquittals and audits, Fundraisers are still required to retain expenditure details and receipts in case substantiation is needed at some stage.
10. Handover of U18 Fundraising Account when the Fundraiser turns 18
- The ASF platform does not allow individuals under the age of 18 to sign up for themselves, they must have a parent or guardian do this for them and manage their fundraising on the ASF platform
- When an individual on the platform turns 18 though, the ownership of Fundraising Account will need to be handed over from the parent/guardian
- The parent/guardian will receive email notifications within 14 days of their child turning 18 that include instructions for the handover.
- The Fundraiser will have 30 days from turning 18 to finalise the handover, before becoming non-compliant and ineligible to receive grant payments.
